SunnyBrook Place Board Meeting

January 19th

Meeting started at 6:35 by Adam France

Attendees:  Board: Adam, Randy, Marlene, Stephany, Johnathan; owners: Gayle, Krista, Nicole, Jonathan and Lisa

Agenda:

1.       New Compliance Committee appointed

a.       Krista, Lisa, Nicole, Gayle will be walking the neighborhood to review the yards and take photos of issues a couple of times a month. They will do their best to capture the address of the house involved.  Any disagreements between the committee will be brought to the chairman, Jonathan.  The disagreement will be brought to the board for discussion and decision.

b.       Committee left the meeting after the discussion so the board could continue the remaining agenda items.

2.       Discuss the 4 phases of fence and monument upkeep/replacement and renovation.

a.       Phase 1: replace the short side of the main fence as it has already fallen and a temporary fix has been put in place.  The replacement cost is $4191 to be split with the impacted owner.

                                                               i.      5 votes for Yes to get this done

                                                             ii.      Scheduled for February 23-24th

                                                           iii.      Need to ensure the owner has been notified that the fence will be replaced and what their cost will be and requirements to reimburse the HOA.

b.       Quote to replace the full length fence is $22,000

                                                               i.      Quote to repair is $968 that will last at least a couple of years

                                                             ii.      Randy will get a quote to pressure wash and paint the fence after the repairs are complete and the short fence will be painted. Work will be scheduled after the fence has been repair.

                                                           iii.      5 votes for Yes to do the small repairs this year and replace the fence in 2025.

Phase 2: Renovate monument landscaping (Spring 2023)

                                                           iv.      Replace with astroturf  - quote is $10 grand and last 15-20 years

                                                             v.      Randy is going to verify the quote

                                                           vi.      Adam is going to the Home show at the end of January and see what vendors are there and look into a few more quotes.

                                                          vii.      After we have 2-3 quotes we will evaluate the bids and $$’s available to see if it can be replaced this year

Phase 3: Replace monument signs (time to TBD)

                                                        viii.      Randy has indicated that there is some repairs that can be done on the wooden monuments that will make them look good and last longer.

                                                            ix.      Quotes and repairs TBD at this time.

Phase 4: replace and paint large fence (Time TBD)

c.       Full length of fence impacts 5 home owners.  1 owner has a larger portion than the rest of them.  Fencing company will break the quote out by parcel.

d.       5 votes for yes to repair the fence this year and replace the full length of the fence in 2025.

3.       $$ on hand was discussed.  There were questions on some of the budget line items. Jonathan was going to reach out to Eydie about making some changes to the budget

Next meeting for the board will be in March timeframe.
